Managing staff

Schedules → Staff users is the roster. Staff accounts are portal-only — they can never open wp-admin.

Adding someone

Name, email, qualifiers, hire date, phone. The username is derived from the first name (override it if you prefer). On create:

  • A temporary password is emailed to them; they must change it on first login.
  • The password is also shown to you once, for 5 minutes — in case their email is slow or wrong.

Editing a profile

Click a name: contact details, qualifiers (who can take opener/closer-gated shifts), a private notes log (staffing notes plus an automatic history of changes), POS user ID (PRO — see the POS integration), and password tools — email a fresh temporary password, or set one directly.

Deactivating and reactivating

Deactivated staff can't log in (any signed-in session ends immediately), receive no emails, don't appear in the builder, and their calendar link stops working. Deactivating someone who still has assigned shifts or open trades asks for confirmation first, so you can resolve those deliberately.

Reactivate any time from the inactive list. Their availability, history, and settings are all still there — deactivation hides, it never deletes.
